Formatting an essay properly is an important aspect of academic writing. Using proper formatting helps readers follow along with the ideas and information being presented. One common formatting requirement for essays is to have double spacing between lines of text. Double spacing makes the essay easier to read compared to single spaced text. It provides more white space for notes and comments. In this article, we will cover in detail how to double space your essay using Microsoft Word on a Windows or Mac computer.
To double space in Word, first open the document you want to format. Make sure you are viewing the document in Print Layout view rather than Draft view. Print Layout view shows what the document will look like when printed. You can change the view by going to the View tab and clicking on Print Layout. The first way to double space is to go to the Page Layout tab. In the Page Setup group, you will see a dropdown menu for line spacing. Click on it and select 2.0. This will change the line spacing to double throughout the entire document.
A second way to double space is by using Styles. Styles allow you to format elements consistently throughout a document. Open the Styles pane by clicking the Styles button on the Home tab. There is a style called “Normal” which controls the default formatting. Right click on Normal and select Modify. In the Line Spacing section of the Modify Style window, select “At least” and type “12” in the box for double spacing. This sets the Normal style to always double space. Any text formatted with the Normal style will now be double spaced.
For manuscripts and essays, it’s best to use only the Normal style rather than additional paragraph or character styles. This helps maintain consistency. You can select all the text in your document and click Normal in the Styles pane to re-format any stray formatting. The advantage of using Styles for double spacing is that if you ever need to change the line spacing, you only have to modify it in the Normal style rather than changing it throughout the document manually.
If you have already entered your essay text and want to double space just a portion, highlight the text you want to change. Go to the Home tab and find the Line and Paragraph Spacing dropdown in the Paragraph group. Click on it and select 2.0. Just the selected text will be double spaced while keeping other text at the default spacing. You can also format individual paragraphs this way without affecting the rest of the document.
Another way is to select the text you want to double space, right click, and choose Paragraph from the menu. This opens the Paragraph dialog box. In the Line Spacing section, choose “Double” from the Line spacing dropdown. Click OK and it will format the selected text with double line spacing.
When double spacing in Word, be careful not to use exactly 24 points of line spacing which turns into triple spacing. Stick with 12 points or 2.0 in the Line Spacing dropdowns and styles to keep it clearly double spaced. Also remember that double spacing is measured from the baseline of one line of text to the baseline of the next line. There may appear to be more whitespace but it meets the standard requirements.
On a Mac, the process for double spacing in Word is very similar. Open the document and ensure you are in Print Layout view to see the actual page formatting on screen. The options to modify line spacing will be in the same locations on the ribbons. You can change the Normal style, use the dropdown on the Home tab, or select text and use the Paragraph dialog box. The specifications like 12 points or 2.0 in the list remain the same between Windows and Mac versions of Word.
Proper double spacing makes essays readable and leaves room for instructor comments and notes between lines of text. Maintaining a consistent spacing throughout keeps the document neat and organized. Formatting with Styles allows easy changing of spacing requirements if needed. With some practice, double spacing an academic paper in Word becomes quick and simple to do. Establishing formatting best practices early in your studies will serve you well when writing future papers and documents requiring specific styles. Let me know if you have any other questions!
