Properly formatting a research paper is essential for a positive first impression. Formatting refers to how your paper looks and is organized. Poor formatting can negatively impact your credibility as a researcher and make your paper difficult to follow. Key elements to properly format your research paper for submission include:

Title Page – The title page should include the title of your paper, your name, any additional authors, the course name or number, your instructor’s name, and the date of submission. Center this information at the top of the page. Page numbers are not included on the title page.

Font Style and Size – Text should be in a standard, easy-to-read font such as Times New Roman or Arial. The recommended font size is 12 point. Font Styles should be consistent throughout your paper.

Margins – Use one-inch margins on all sides of every page, including the title page. This provides enough white space around the edges of the text for readers.

Paragraph Indentation – The first line of each paragraph should be indented five spaces or half an inch. This visually separates paragraphs and makes the paper easier to read.

Line Spacing – Use double spacing between each line of text. This includes between paragraphs, headings, block quotes, captions, and references. Double spacing makes annotations and edits easier.

Pagination – Number pages consecutively throughout the paper in the upper right or lower center headers, excluding the title page. Page numbers should be in the same font and size as the rest of the paper.

Header/Footers – Include a short version of your paper title as a header on each page, along with your last name to the left or right of the page number. This identifies your paper on every sheet.

Font Color – Stick to black text only. Avoid using colors, which can be distracting. Formatting should not call attention to itself.

Heading Styles – Use different heading styles to easily distinguish sections and emphasize their importance. For example, level one headings can be bold and centered while level two are italicized and on the left margin. Be consistent throughout.

Paragraph Length – Keep individual paragraphs 2-5 sentences for easy readability. Long blocks of text are intimidating and off-putting for readers. Break up content into digestible chunks.

White Space – Leave adequate white space around and between paragraphs, headings, figures, tables, and other components. Crowded pages strains eyes and discourages reading.

Citations – Reference all sources used in your research with in-text citations and a corresponding reference list at the end. The citation style must be consistent such as APA, MLA, or Chicago style.

Captions – Number and label all images, graphs, tables, and appendices clearly. Place captions below figures and above tables to guide readers. Captions should be in the same font and size as the rest of the paper.

Paper Sections – Structure your paper in a logical sequence with an introduction, body paragraphs grouped by topic, and a conclusion. Include relevant headings and subheadings to organize ideas.

A professional, easy to follow appearance is crucial because formatting affects how readers perceive the quality and credibility of your research. Give your paper a polished, finished look with consistent formatting from title page to bibliography. Consider having a writing tutor or professor review your formatting before final submission. Proper formatting is an essential first step in presenting ideas effectively and making the best impression on readers with your research.
