Proper Margins in Writing Essays
When writing an essay for school or work, proper formatting is crucial to presenting your ideas in a clear, organized manner that is easy for readers to follow. One important aspect of formatting is setting the correct margins around the edges of each page. Margins provide white space that allows readers’ eyes to rest as they move from line to line or paragraph to paragraph. They also create a neat, polished appearance that makes your writing seem more professional. Standard Margins
The standard margin sizes used for essays, reports, research papers and other documents are one inch on all four sides of the page (top, bottom, left, and right). Sticking to standardized margins creates consistency that helps your reader to focus on your content rather than distraction from nonstandard formatting.
Some specific style guides, such as the Modern Language Association (MLA) and American Psychological Association (APA) have their own margin guidelines. MLA style typically requires one-inch margins on all sides, while APA style recommends 0.5 inches for top, bottom and left margins and one inch for the right margin. For double-spaced text, a one-inch margin leaves approximately three quarters of an inch from the text to the edges of the paper. Wider margins than the standard could risk your essay appearing too sparse on the page. Narrower margins than required take up excessive space and tire readers’ eyes by crowding the text close to the edge.
Setting Margins in Word
To set proper margins in Microsoft Word, click the “Page Layout” tab and select the “Margins” button. This will open the Margins dialog box where you can specify the margin size for each edge of the page (top, bottom, left, right).
For the standard one-inch margins on all sides, select “Normal” from the preset margin options at the top of the dialog box. Or, you can manually enter 1″ in each margin measurement box. Be sure to click “OK” to apply your margin changes to the document.
You can also set custom margins by entering different measurements for each edge if needed for an assignment. For example, to match the APA style, enter 0.5″ for top/bottom/left and 1″ for right in the corresponding boxes before clicking OK.
The “Options” button in the Margins dialog box allows you to specify additional formatting like different header and footer margins. Unless noted otherwise by an instructor, keep these at their defaults. Another way to access margin settings is through Format > Page Setup on the top menu bar if the Page Layout tab is not visible.
Checking Margins
It’s easy to accidentally change margins or overlook incompatible sizing requirements without noticing. Be sure to double check that your margins are set correctly before submitting an essay by:
Viewing the measurements displayed on the horizontal and vertical rulers. These should match your specified margins.
Printing a draft copy to verify white space looks appropriate on paper where measurements may display differently than on screen.
Asking a classmate or tutor to proofread and confirm margins are as required.
