What is an Ultius W9?

Ultius is an online content writing and editing service that connects clients with independent freelance writers and editors. Writers and editors who decide to work with Ultius are considered independent contractors rather than employees. As independent contractors, they must complete a W9 form so Ultius has the proper documentation for tax reporting purposes.
Why is an Ultius W9 Needed?
There are a few key reasons why Ultius requests a completed W9 from independent contractors:
Tax Identification Verification: The W9 requests the contractor’s name, address, and Taxpayer Identification Number (TIN) which is either a Social Security Number (SSN) for individuals or Employer Identification Number (EIN) for businesses. This provides proof of the contractor’s identity and taxpayer status.
1099 Reporting: Any contractor paid over $600 in a calendar year by Ultius must receive a 1099-NEC tax form by January 31st of the following year. The 1099 form reports the total payments made to the contractor so they can report the income on their tax return. The W9 is needed so Ultius has the correct name and TIN to accurately complete the 1099.
Backup Withholding: If a contractor fails to provide a properly completed W9, Ultius is legally required to withhold 24% of any payments as backup withholding. Completing the Ultius W9
When a new independent contractor signs up to work with Ultius, they are instructed to fill out the W9 form with accurate personal or business information before any payments can be issued. Here are the key steps:
Provide Legal Name: The name listed on the W9 must match exactly how it is shown on tax filings. No initials or abbreviations.
Include Address: A physical street address (no PO Box) is required. This address will be used to mail any 1099 forms.
Choose Taxpayer Type: Mark the appropriate box for Individual/Sole Proprietor or C Corporation, S Corporation, Partnership, Trust/Estate, or Other.
Supply Taxpayer Identification Number: The SSN or EIN must match IRS records to avoid backup withholding.
Sign and Date: The signature legally certifies the information is accurate under penalties of perjury.
Submit to Ultius: Complete forms can be emailed, faxed, or mailed. Digital signatures are acceptable during the COVID-19 pandemic.
As long as the W9 is filled out fully and accurately, the contractor is eligible to begin working jobs and receive payments from Ultius free of withholding. It is important to notify Ultius if any information like the address changes in the future as well.
How Does Ultius Use the W9 Information?
At the end of each calendar year, Ultius works with a certified public accountant to generate 1099-NEC forms for any independent contractor paid over $600 during the year. They reference the name and TIN provided on the W9 to accurately populate the pre-printed 1099 form.
The 1099s are then mailed to each applicable contractor no later than January 31st. This important tax form helps the contractors know exactly how much income to report to the IRS from self-employment or independent contracting work completed for Ultius.
Ultius also uses the W9s to file annual information reporting returns like 1099 and 1096 transmittal forms with the IRS. These forms help the IRS ensure all independent contractor income is accounted for and taxes are paid accordingly. In this way, both Ultius and its contractors fulfill all necessary tax obligations.
